Who is responsible for your information
VCUK Web Services is the data controller for personal information collected through this website and during enquiries or client projects.

How information is collected
Information may be collected through the contact and audit forms, email, telephone, WhatsApp, discovery calls, project documents, files you send and publicly available business information.
The website uses a hidden anti-spam field and basic rate limiting to protect its forms. Form submissions are delivered through Resend when configured.
How your information is used

Lawful bases
Depending on the situation, VCUK may process information because you have asked for steps before a contract, because it is needed to perform a contract, because there is a legitimate interest in responding to enquiries and operating the business, because of a legal obligation, or because you have given consent.
Optional analytics is loaded only after an analytics consent choice is recorded.
Service providers and transfers
Information may be processed by providers needed to operate the service, including Vercel for website hosting, Resend for form-email delivery, email and cloud-storage providers, WhatsApp or Meta when you choose that contact method, and Plausible if optional analytics is enabled.
Some providers may process data outside the UK. Where this applies, VCUK uses established providers and relies on the safeguards made available by those services.
How long information is kept
Enquiries that do not become client projects may be kept for up to 12 months so the conversation can be followed up and understood.
Client, contract, invoice and accounting records may be kept for up to six years where needed for tax, legal or business-record purposes. Project files may be retained while support is provided or while they remain reasonably necessary, unless deletion is requested and there is no legal reason to keep them.
Your rights
Under UK data-protection law, you may have rights to access personal information, correct inaccurate information, request deletion in some circumstances, restrict or object to processing, receive certain information in a portable format and withdraw consent where processing relies on consent.

Security and sensitive information
Reasonable technical and organisational measures are used to protect information, but no internet transmission or storage method can be guaranteed completely secure.
Do not send passwords, confidential customer records, payment-card details or sensitive personal information through the public forms.

This policy may be updated when services, suppliers or legal requirements change. The latest version will always appear on this page.
